Your Property Mate ("we", "us") helps first-time buyers learn how to buy their first home. This policy explains what personal information we collect, why, and what your rights are. We've written it in plain English on purpose.

Who we are

Your Property Mate is a UK-based education platform for first-time buyers. For anything privacy-related, email [email protected].

What we collect

  • Details you give us: your first name, email address, optional mobile number, and your answers to our short sign-up questions (where you are in your buying journey, whether you're speaking to a broker, and what worries you most). If you contact us, we'll have whatever you include in your message.
  • Details collected automatically: basic technical data (browser type, pages visited, rough location from IP, how you found us) via analytics — see our Cookie Policy for exactly what runs and when.
  • Live classes: our live group classes are recorded. We may use short clips for marketing and educational content. Before publishing anything, we remove details that identify you — faces are blurred and personal identifiers taken out. You can tell us at any time that you'd rather not appear in any clip, and we'll honour it. If you'd prefer not to be recorded at all, you can stay off camera and ask your questions in the chat.
  • What we don't collect: we don't ask for, and you shouldn't send us, financial account details, credit information, or documents. Our tools (calculators and the readiness score) run in your browser — the numbers you type into them are not sent to us or stored by us.

Why we collect it, and our lawful basis

  • To hold your place and take you to the community — performance of our arrangement with you (contract).
  • To send you our email newsletter with first-time buyer education, community updates, and occasionally relevant offers — with your consent / as legitimate interest where you signed up expecting to hear from us. Every email includes an unsubscribe link, and unsubscribing is instant.
  • If you give us your mobile, we'll message you on WhatsApp with your weekly nudge, tips, community updates and occasionally relevant offers — reply STOP anytime and we'll stop immediately.
  • To understand how the site is used and improve it — legitimate interest (analytics you've consented to).
  • To make our advertising smarter — with your consent only, via the advertising cookies and server-side events described in the Cookie Policy.
  • To record our live classes so members can catch up on anything they missed — performance of our arrangement with you (contract) — and to use short, anonymised clips in marketing and educational content — legitimate interest, balanced against your privacy by blurring faces and removing personal identifiers before anything is published, and by honouring your opt-out at any time.

Referrals to third-party professionals — and how we make money

Part of what we do is introduce members to third-party professionals — for example mortgage brokers, solicitors/conveyancers, and surveyors. If you choose to use one of them, they may pay us a referral fee or commission. This never costs you anything extra, and you are never required to use anyone we introduce. If you ask us for an introduction, we'll share the details you choose to give us (typically your name and contact details) with that professional so they can contact you — and we'll always make clear when that's happening. Those professionals are independent businesses and their own privacy policies apply to what they do with your information.

Who else sees your data

We use trusted service providers to run Your Property Mate: Airtable (where sign-up details are stored), Cloudflare (website hosting and security), our email newsletter provider, and — only with your consent — Google (analytics) and Meta (advertising measurement, including a server-to-server connection where limited, hashed data such as a scrambled version of your email is shared to measure and improve our ads). We never sell your personal information.

Sending data outside the UK

Some of these providers are based in, or store data in, the United States. Specifically: Google (analytics) and Meta (advertising) both transfer data to the US, and Airtable and Cloudflare may process it there too.

US data protection law is not the same as the UK's, so we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses — a contract these providers sign that binds them to UK-standard protection for your data. Google and Meta are also certified under the UK Extension to the EU–US Data Privacy Framework. You can ask us for details of the safeguards that apply to any transfer.

Our community is not open yet, so nothing you give us is sent to it. Right now your details go only to the providers listed above. When the community opens, it will run on Skool, a third-party platform: at that point you'll create an account with Skool directly, and their terms and privacy policy will govern everything on their platform. We'll say so before that happens.

How long we keep it

  • If you're on the waitlist: we keep your sign-up details for 24 months from the last time you engaged with us — opening an email, clicking a link, or replying. After that we delete them.
  • If you become a member: for as long as you're a member, and then 6 years afterwards, because tax and accounting law requires us to keep records of what we sold you.
  • Analytics: Google Analytics keeps event data for up to 14 months, on Google's systems, under the retention setting we've chosen in our Google Analytics account.

If you unsubscribe, we keep your email address on a suppression list so we don't accidentally email you again — that one record outlives the periods above, because deleting it would defeat its purpose. Everything else goes. You can ask us to delete what we hold at any time.

Your rights

Under UK data protection law you can: access the data we hold on you; correct it; ask us to delete it; object to or restrict how we use it; take your data elsewhere; and withdraw consent at any time (including unsubscribing from emails and changing cookie settings via the "Cookie settings" link in our footer). You can also opt out of appearing in any clip from our live classes — tell us at any time, before or after a session, and we'll leave you out of anything we publish; you're equally free to stay off camera and use the chat instead. Email us and we'll sort it — no forms, no fuss.

You also have the right to complain to the regulator. If you're unhappy with how we've handled your data, you can raise it with the Information Commissioner's Office, the UK's data protection regulator: ico.org.uk/make-a-complaint, or their helpline on 0303 123 1113. You don't need our permission and you don't have to come to us first — though we'd genuinely appreciate the chance to fix it.
